Description of Role/Responsibilities:

An Applications Co-ordinator plays a key role in supporting the successful delivery of our client’s projects, and we’re currently looking for the right person to fulfil this role. The ideal professional for the role is a flexible problem solver with excellent communication skills and a detail-oriented mindset.

The Applications Co-ordinator’s duties encompass a range of support and project-related tasks that are essential to the operation of the business. These may vary from time to time without changing the general character of the post or the level of responsibility entailed, but there are three broad areas of responsibility:

  • Building an in-depth knowledge of in-scope software applications
  • Enabling the rollout of current solutions to new clients, and supporting the expansion of a client’s existing applications to new trading partners
  • Assisting the Project Management team with larger projects

Principal Activities & Specific Duties:

Knowledge of software applications

The Applications Co-ordinator will acquire a level of in-depth knowledge across all in-scope software applications to provide technical expertise as a point of reference for all client and second-line support queries, responding at appropriate levels of understanding. Activities will include:

  • Building an in-depth level of knowledge for all in-scope applications, leading to a complete understanding of all functions, as both a System Administrator and end-user
  • Specifying, testing and implementing changes, working with various internal teams to ensure evolving business requirements are satisfied
  • Creating and maintaining internal and external documentation
  • Identifying and proposing relevant enhancements to applications for management approval
  • Providing collateral and assistance for sales & marketing activities and for presentations to potential clients in order to win new business
  • Assisting internal and external Support Teams with in-scope application-related queries, such as data errors or configuration issues
  • Contributing to the documentation of applications as required

Support the roll-out of existing applications

The Applications Co-ordinator will work within specific projects to assist in the roll-out of existing applications to new clients and their trading partners, onboarding users to the platforms as required. This will involve:

  • Co-ordinating the rollout of our online applications to new clients and their trading partners:
    • Managing the onboarding of new trading partners based on client requirements
    • Arranging and delivering training sessions for the various trading partners
    • Co-ordinating the go-live activities
    • Providing status reports on progress with the rollout
  • Production of application documentation such as user guides, release notes and test plans
  • Configuring applications according to the customer requirements
  • Assisting customers with change notifications and product updates
  • Monitoring different email accounts to provide ongoing customer support once they are up and running with the applications

Job Requirements and Skills

  • Some Software Application knowledge in an IT environment
  • Excellent communication and interpersonal skills, with a professional demeanour
  • Proficiency in diagnosing, analysing and solving problems related to customers interactions with applications
  • Excellent organizational and multi-tasking skills
  • Excellent written communication skills, ability to provide concise project reports
  • Customer service mentality
  • Familiarity with change control procedures, and user acceptance testing
  • Excellent knowledge of MS Office, with aptitude to learn new software and systems
  • Flexibility, willingness to learn
  • Ability to work independently, be proactive and prioritise own workload
  • A self-motivated team player who thrives off supporting and working with others
